Thank you for choosing Iris Select for your Exclusive Lifestyle Experience. We take all efforts to ensure that you have a warm and a delightful holiday experience. We devote keen attention to every minute detail of your event. At the same time, we request you to read and follow the below Terms and Conditions so as to avoid any misunderstanding and ensure a hassle-free and enjoyable occasion.
1. Brief Description and Commencement
These Terms and Conditions shall be called Iris Select Lifestyle Pvt. Ltd. (Iris Select Events) Terms and Conditions.
They extend to Iris Select Events, Concierge Services, Tailor-made Holidays, Corporate Conferences, and all other Events organized by Iris Select Lifestyle Pvt. Ltd.
These Terms and Conditions are applicable and considered accepted by the Guest immediately when payment is received for any event or services.
2. Definitions
In these Terms and Conditions, unless the context otherwise requires:
‘Iris Select’ is a brand name of Iris Select Lifestyle Pvt. Ltd.; therefore, both these names will be considered one and the same and used synonymously herein.
Guest/s means the total number of people who have registered their names and booked services by having made the full or part payment for events organized by Iris Select (which expression shall, unless it be repugnant to the context or meaning thereof, be deemed to mean and include their respective heirs, executors, and administrators).
Company means Iris Select (Iris Select Lifestyle Pvt. Ltd.) and also includes all its brands and divisions.
Event/s mean any activity, conferences, travel, accommodation, lifestyle, or corporate services organized by Iris Select.
First day of services shall start at any time (i.e., in the morning / afternoon / evening) at the first destination depending on the arrival of the respective flight/train/cruise or any other mode of transport, and the same shall apply in the case of the last day of services. In other words, a ‘Day’ shall mean a part of the day, a full 24 hours, or any part thereof.
Force Majeure means any event or circumstance not within the reasonable control, directly or indirectly, of Iris Select that restricts its ability to perform its obligations/responsibilities, including:
War, hostilities, invasion, act of foreign enemies;
Rebellion, revolution, insurrection, or military or usurped power, or civil war;
Epidemic, pandemic, explosion, fire, flood, earthquake, or other exceptional natural calamity and Act of God;
Ionizing radiation or contamination by radioactivity from any nuclear fuel, or from any nuclear waste;
Riot, commotion, or disorder;
Any act or omission of any Government instrumentality, or a Change in Legal Requirements;
Strikes, lockouts, or other industrial disturbances;
Abnormal weather or sea conditions including tempest, lightning, hurricane, typhoon, rain, and extreme temperatures.
Extra Mattress: Means a roll-away mattress placed on the floor.
Jain Food means: Food prepared without onion or garlic, served at the time of event group meals. It is not necessarily served before sunset and may or may not be served directly on the table.
Meal: Includes breakfast, lunch, dinner (which are preset menus) and/or any other snacks (dry or wet) supplied.
Gender: The masculine gender shall also include the feminine gender and vice versa; the singular shall include the plural and vice versa, along with grammatical variations if any.
Severability: Each of these terms and conditions shall be severable. If any provision thereof is declared invalid, illegal, or unenforceable, the remaining provisions shall nevertheless continue to have full force and effect.
3. Liberty of Activity & Third-Party Limitations
The Company acts as an organizer coordinating with various independent service providers for conducting services. The Company takes the utmost precaution to ensure that services are comfortable. Clients are updated from time to time through different communication media in case of operational changes.
Though we take maximum care, the Company does not have direct control over the operational schedules or safety protocols of independent modes of transport (like shipping, airlines, railways, coaches, buses, etc.) nor over hotels, restaurants, or other external facilities.
Consequently, the Company shall not be held liable for any personal injury, loss, or damage to property resulting from the actions, defaults, omissions, or negligence of these independent third-party vendors.
4. Booking & Health Criteria
Booking Authorization: Payment of the registration/booking amount indicates that the Guest has read, understood, and accepted all the terms and conditions mentioned on the Iris Select quote, website, or booking form. A Guest processing booking formalities on behalf of a group is deemed to have been authorized by the group to accept these terms on their behalf.
Health & Fitness: By booking a service, the Guest affirms that they are physically fit to travel to and participate in the activities scheduled for that destination. Guests must manage their health throughout the event. Any medical emergency, health issue, or required stay-back expenses shall be borne entirely by the respective Guest, and the Company shall not be held responsible in any manner.
Non-Payment of Full Balance: The Company reserves the right to cancel the booking and forfeit the paid registration amount if the full event cost is not cleared 30 days prior to the scheduled departure date.
5. Event Payment & Pricing
Registration Amount: The registration amount paid at the time of booking is non-refundable and interest-free. Guests must pay the balance event price as per the guidelines given in the official quote.
Dishonored Cheques: In the event that a cheque paid by the Guest is dishonored, an administrative charge of Rs. 2,000 per instance must be paid by the Guest.
Last-Minute Bookings: If a Guest books an event within 30 days of the departure date, the entire payment must be cleared immediately via Demand Draft, IMPS/NEFT, or instant online transaction.
Payment Methods: Payments can be made online via Credit Card, Debit Card, Net Banking, or by Cheque/Demand Draft favoring “Iris Select Lifestyle Pvt. Ltd.”. The Company reserves the right to cancel bookings without notice if payments do not clear by the designated due date.
Cost Fluctuations: Quoted service costs calculate the Foreign Exchange component based on prevailing rates of that day. The Company reserves the right to alter the final cost before departure due to steep currency fluctuations or tariff adjustments, and the Guest agrees to pay the difference. Event costs do not include unforeseen government or airline-imposed taxes raised by independent contractors, which must be borne by the Guest.
Discounts: Early booking discounts are valid strictly for the declared period and are applicable to limited seats or specific dates. The Company reserves the right to modify or withdraw discount policies at any time without assigning prior reasons.
Airlines, Visa & Government Hikes: Airlines operate independently. The Company has no control over airfare hikes, fuel surcharges (YQ & YR taxes), or visa fee increases implemented by foreign consulates or VFS. Any such additional charges must be paid by the Guest prior to departure. Air ticket cancellation charges and deposit forfeitures apply strictly as per vendor policies.
6. Travel Documentation & Immigration
Passport Requirements
For international travel, the Guest must possess a valid passport.
The passport must be valid for a minimum of 180 days from the scheduled date of return arrival in India.
Guests must cross-check that particulars (name, address, validity) match exactly. For the European/Schengen sector, passports must have been issued within the last 10 years.
Passports must be well-maintained and contain sufficient undamaged blank pages for visa stamping. Handwritten or damaged passports are not accepted.
Visa Facilitation
Iris Select acts strictly as a visa facilitator, assisting clients with document organization, submission, and collection. The consulate reserves the right to summon a Guest for a personal interview.
The decision to grant or reject a visa rests solely with the respective consulate. Iris Select cannot influence or object to their decision.
If a visa is delayed or denied by the embassy, Iris Select shall not be held responsible for the consequences, nor shall it be liable for a refund. The Guest must bear all applicable cancellation and re-booking charges for subsequent arrangements.
Biometrics: Guests must personally comply with biometric requirements at VFS or embassy locations where mandatory (e.g., UK, Schengen, USA).
Immigration Clearances
A valid visa merely permits approach to a country’s immigration border point. The final decision to allow entry rests entirely with the duty immigration officer. If a Guest is detained, interrogated, or deported by immigration authorities, the Company is not liable for any missed components of the itinerary or subsequent losses.
Travel Insurance
Standard travel insurance is included for international events for guests up to the age of 59 years. Any premium difference for senior age groups must be paid by the respective Guest.
Insurance claims are processed, granted, or rejected solely by the insurance underwriting company. Iris Select acts merely as a facilitator and is not responsible for claim adjudications or coordinating disputes with third-party insurers. Insurance policies typically exclude pre-existing medical ailments. Foreign nationals must arrange their own travel insurance.
7. Itinerary Changes & Deviations
Modifications due to Force Majeure: The Company reserves the right to modify or alter the itinerary in the event of Force Majeure conditions. Alterations will be communicated to the client at the earliest opportunity, and any additional net costs incurred must be paid by the Guest.
Modifications due to Unavoidable Circumstances: If the Company curtails or cancels a specific segment of the tour due to operational constraints unrelated to Force Majeure, a pro-rata refund for that specific unused portion will be issued to the Guest. The Company will not entertain further compensation claims.
Weather-Dependent Activities: Adventure or outdoor activities depend completely on local weather conditions. If weather conditions prove unfavorable, the activity may be substituted, or a direct refund for that specific venue entry/activity fee will be processed.
Joining/Leaving Guests: Guests choosing to join our group event directly at the first destination must manage their own flights, visas, and insurance unless explicitly contracted otherwise. Local contact details and flight numbers must be shared with Iris Select at least 18 days prior to departure.
Baggage Responsibility: Guests remain solely responsible for their personal baggage and belongings at all times (at airports, coaches, hotels, and immigration checkpoints). Porterage services, tips, or individual helpers engaged by the Guest must be paid for directly by the Guest.
8. Cancellation & Refund Policy
Cancellation by Guest
To request a cancellation, the Guest must submit a written application along with the original payment receipt issued by the Company. Cancellation fees are calculated based on the Gross Event Cost (before any applicable discounts) according to the timeline below:

Note: Air tickets issued under special or promotional bulk fares are completely non-refundable, and their full cancellation charges apply separately over and above the table above.
For tailor-made (FIT) events, cancellation charges vary based on the specific deposit policies of the contracted luxury vendors.
Cancellation or Alternation by the Company
The Company reserves the right to cancel bookings if operational viability, safety concerns, or unforeseen external circumstances arise. In such instances, a full refund of the amount received will be processed within 15 working days via cheque or bank transfer. Alternatively, the Guest may choose to transfer the balance toward a future event or an alternate package.
Unruly Conduct: The Company reserves the right to dismiss any Guest from an ongoing event if their physical or verbal behavior causes a disruption to the group, or constitutes an assault on the Event Manager or fellow travelers. In such cases, no refund will be issued, and the Guest must arrange their own return travel.
Refund Rules
All valid refunds will be issued directly via an Account Payee cheque or direct bank transfer in Indian Rupees (INR) at the prevailing exchange rate, in compliance with Reserve Bank of India (RBI) Rules.
No refund or compensation shall be paid for unused or missed services, including meals, hotel amenities, or sightseeing tours, dropped voluntarily by the Guest for any reason.
For transactions completed via credit/debit cards, valid refunds will be credited back through the respective financial institution to the same card account. Any processing fee or bank transaction fee levied by the gateway will be borne by the client.
9. Group Management & Operational Standards
Minimum Passenger Quota
Our standard group events require a minimum participation of 20 Guests to run in their standard format.
If the total headcount falls below 20 at least 30 days prior to departure, Iris Select reserves the right to either:
Run the tour seamlessly without a dedicated Company Event Manager on a modified MAP plan (Breakfast and Dinner included) with local assistance;
Propose a small-group surcharge to the registered guests to run the tour as planned; or
Cancel the tour format and offer a 100% full refund of the amount paid by the guest.
Cancellations driven by low group numbers will be communicated to the Guest at least 30 calendar days before departure via SMS, call, or email.
Special Assistance
Group events follow a structured, shared schedule. While Iris Select makes reasonable attempts to accommodate senior citizens or differently-abled guests, standard tour coaches are not equipped with customized wheelchair ramps. Guests requiring continuous physical assistance must travel alongside a capable, paying companion to manage their personal needs.
Hotel Policies
Single Occupancy: Guests traveling alone who request or are assigned an individual room must pay single occupancy charges for the entire itinerary. Single rooms may vary in configuration or size compared to standard double/twin sharing rooms.
Check-In/Check-Out: Guests must strictly adhere to the designated check-in (typically 3:00 PM) and check-out (typically 10:00 AM) times of the respective luxury hotels. Early check-ins or late check-outs must be requested and paid for directly to the hotel management. Any property damage caused by a Guest must be settled directly with the resort before check-out.
Room Sharing: Room sharing arrangements for solo travelers are subject to the availability of a suitable partner of the same gender. Personal differences, smoking/non-smoking preferences, or disputes regarding cleanliness must be managed mutually between the room partners. If a designated room partner cancels their booking, the remaining partner must cover the single room tariff difference.
Restaurant & Meal Standards
Meals feature fixed, pre-set menus curated for the group. The Company primarily serves vegetarian selections alongside select non-vegetarian options. Special personalized diets cannot be guaranteed en-route, though baby meals (such as plain dal, rice, or milk) can be requested with prior written notice. No claims for refunds regarding meal selections will be entertained.
10. Liability Limits & Guest Responsibilities
Valuables: Guests are strongly advised not to carry high-value jewelry or unnecessary electronics on tour. Keeping track of personal items remains the sole responsibility of the Guest; hotel room safe boxes should be used where available. The Company is not responsible for theft or loss of personal property.
Delays & External Surcharges: The Company has no control over flight/train delays, carrier rescheduling, traffic congestion, or sudden VIP movements. Any extra expenses arising from missed connections or extended stays due to these factors must be managed directly by the traveler.
Celebrity Apperances: Where an event features a designated celebrity entertainer, the Company is not liable if the individual fails to appear due to illness, health emergencies, or personal factors beyond our operational control.
Grievances: Any operational complaint regarding an independent vendor must be reported to the vendor in writing immediately, with a copy shared with the Iris Select Event Manager or support team within 7 days of the incident to enable official resolution channels.
Data Privacy: Guest data is collected strictly for ticketing, visa processing, and event compliance. Information will be disclosed to statutory or government authorities only when legally mandated by a court order.
Media & Promotional Usage: The Company reserves the right to use group photographs and video recordings taken during the event for official promotional, social media, and marketing purposes. Guests who wish to opt out of media coverage must notify the tour management in writing before the commencement of the event.
11. Nightclub Rules & Regulations
Admission into venues or associated nightlife events managed or curated by the Company binds guests to the following regulations:
Admission: The Rights of Admission are strictly reserved by management.
Age Restricting: Entry is strictly restricted to individuals aged 21 years and above. Valid government-issued photo identification must be presented at the security checkpoint.
Prohibited Items: No luggage, bulky handbags, backpacks, firearms, weapons, sharp objects, or banned substances are permitted inside the premises.
Prohibited Material: Consumption of Paan, chewing tobacco, Gutka, or unauthorized outside food and beverages is strictly prohibited.
Smoking Policy: Smoking is prohibited inside enclosed club areas, except within designated ventilated smoking zones.
Belongings: The management assumes no liability for the loss, theft, or damage of personal items or effects belonging to patrons.
Unruly Behavior: Management reserves the unconditional right to remove any individual displaying unruly behavior, intoxication, or causing a public nuisance to other patrons.
Cancellations: If an entertainment event is canceled or aborted midway due to unexpected safety risks, government administrative orders, or Force Majeure, refunds will be evaluated on a case-by-case basis based on vendor terms, and cannot be claimed as an absolute right.
Security Screenings: All guests are subject to mandatory security checks and physical frisking prior to entry.
Media Release: Guests agree that photographs or crowd videos captured within the premises may be utilized for club promotional purposes across electronic and print media.
12. Gift Voucher Terms
This voucher features no expiration date and may be redeemed at any point in time, unless an explicit campaign validity is stamped on the face of the voucher.
The voucher can be redeemed strictly once and cannot be combined or merged with other promotional vouchers or special discount schemes.
Vouchers are redeemable exclusively against Group Events organized directly by Iris Select, through authorized Iris Select Sales Offices or designated Preferred Sales Partners.
Vouchers are strictly non-transferable, non-refundable, and cannot be exchanged for cash.
Booking requests using vouchers remain subject to room and seat availability at the time of reservation. Any package cost exceeding the face value of the voucher must be settled by the Guest prior to departure.
To redeem, the Guest must produce the official gift voucher SMS or email certificate received upon the conclusion of their previous tour services. Women's Special Event vouchers are valid exclusively against designated specialty women's departures.
13. Jurisdiction
All disputes, claims, or legal proceedings pertaining to the services, bookings, websites, or events organized by Iris Select Lifestyle Pvt. Ltd. shall be governed by the laws of India and shall be subject to the exclusive jurisdiction of the competent courts in Goa, India only.
